Reservations & Booking Process

Expeditions are reserved through a written application followed by a confirmation from All Latitude. A place is held only once the deposit has been received and the participant agreement has been completed.

Deposits

A deposit of [deposit amount or % to be confirmed] per guest is required to secure a place. Deposits are non-refundable except where stated in the Cancellation Policy.

Final Payment Deadlines

The balance is due no later than [number of days before departure] days before the expedition begins. Late payment may result in the place being released.

Pricing

Each expedition page lists exactly what is included. Generally, prices cover guiding, accommodation during the expedition, ground transport on programme, and most meals. International flights, personal insurance, and items of a personal nature are excluded unless explicitly stated.

Currency

Expedition prices are published in [primary currency, e.g. EUR]. Payments processed in other currencies are subject to exchange rates and any fees applied by your bank or card provider.

Minimum & Maximum Group Sizes

Most expeditions run with four to eight guests. The maximum is ten. Some departures may require a minimum number of confirmed guests to proceed; if a minimum is not reached, All Latitude will offer a transfer, future credit, or full refund.

Changes to the Itinerary

Wild places change daily. Itineraries may be adjusted in response to:

• Weather conditions
• Safety considerations
• Natural conditions on the ground
• Road closures or access changes
• Guide judgement
• Environmental protection and local guidance

Where a change is necessary, an equivalent experience will always be offered. Decisions made by the expedition leader on safety grounds are final.

Guest Responsibilities

Each guest is responsible for arriving prepared, informed, and ready to participate fully and respectfully. This includes:

• Travel documents — valid passports and any required permits
• Visas — secured well in advance of departure
• Fitness — meeting the physical requirements published on each expedition page
• Equipment — bringing the required personal kit
• Travel insurance — comprehensive cover for medical, evacuation, cancellation, and adventure activities
• Behaviour — courtesy toward fellow guests, hosts, wildlife, and the environment

Alcohol & Drug Policy

Alcohol may be enjoyed responsibly outside of active expedition hours. The use of recreational drugs is not permitted at any point during the expedition. Anyone whose use of alcohol or drugs compromises safety may be removed from the expedition without refund.

Authority of the Expedition Leader

The expedition leader has full authority over safety-related decisions, including route changes, activity cancellations, and the removal of any participant whose behaviour endangers themselves, the group, the environment, or the people who host us.

Medical Disclosures

Guests must complete the Medical & Fitness Declaration honestly and notify All Latitude of any change to their health between booking and departure. Withholding relevant medical information may result in removal from the expedition without refund.

Photography During Expeditions

All Latitude may photograph or film moments during the expedition for editorial and promotional use. Guests may opt out at any time through the Image & Media Consent form.

Limitation of Liability

All Latitude takes the safety and wellbeing of every guest seriously. To the extent permitted by law, liability is limited to the amount paid for the expedition. All Latitude is not liable for losses caused by circumstances outside its reasonable control, including weather, natural events, third-party service providers, or guest decisions taken against guidance.

Applicable Law

These terms are governed by the laws of [governing jurisdiction to be confirmed]. Any dispute will be resolved in the courts of that jurisdiction.
